When most people think of Zoom recordings, they assume that if they’ve already got a seat on the company’s Enterprise Zoom account, then the recordings from their meetings should automatically show up for them.

That’s not exactly how it works and it often causes confusion.

Who can see Zoom recordings?

If you’re the account owner or an admin on the company’s Zoom account, you have broad visibility into recordings.

Account owners and admins can access all recordings made by team members under the organization’s account.

You don’t need to have attended the meeting, nor do you need a shared link. If a team member with a seat on the Enterprise account hosts and records a meeting, it shows up in the admin’s Recording and Transcript Management area by default.

This includes meetings scheduled by both regular users and fellow admins.

Access can be adjusted through Role Management if the owner wants to restrict certain admins from seeing recordings.

What about regular users?

For those who only have user-level access (non-admins), the situation is different.

They cannot automatically see recordings from other team members’ meetings. Recordings must be manually shared with them by the host or an admin.

This is important to understand if you assumed all team members could automatically browse recordings across the organization, they can’t.

Why we record all meetings by default

Beyond role-based access, there’s a bigger operational reason why our team records every Zoom call: it’s built into our Meetings Checklist.

  • Before the meeting: We set clear agendas, research participants, and confirm logistics. Recording ensures that prep work isn’t wasted if someone can’t attend live.
  • During the meeting: We focus on eye contact, active listening, and clear action items.
  • After the meeting: Recordings are uploaded to the Basecamp Client Meetings thread alongside polished notes and assigned To-Dos. This makes the meeting actionable, referenceable, and transparent across the team.

In other words, recordings are a core part of our workflow. They help us hold each other accountable, provide clients with a single source of truth, and let anyone catch up asynchronously without slowing the team down.

Bottom line

If you’re an admin or account owner, you have full access to all recordings across your organization’s Enterprise Zoom.

If you’re a standard user, you only see your own recordings unless someone manually shares others with you.

Internally, we avoid the guesswork by recording everything by default. Combined with our Meetings Checklist, this ensures that whether you’re prepping before, engaging during, or following up after, nothing falls through the cracks.
